SightLab VR Assistant — Privacy Notice and Assistant Terms

Effective date: October 6, 2026

Part 1 — Privacy notice

Scope and contact

WorldViz Inc. provides SightLab VR Assistant, a plugin containing instructions and reference materials for assistance with SightLab workflows and code. This notice addresses the assistant and support requests you submit to WorldViz about this assistant. The support-data provisions apply when you contact WorldViz for that support; using the plugin alone does not create a Zendesk support ticket. This notice does not describe all WorldViz support operations or all processing by installed SightLab/Vizard software or external services you separately use.

This notice does not cover browsing WorldViz documentation or support webpages, including their website logs, cookies, or analytics. It does cover the assistant-related support information you submit to WorldViz.

Conversations and files in ChatGPT or Codex

Your prompts and files are processed by the OpenAI product in which you use the assistant. OpenAI's applicable privacy notices, product terms, account settings, and workspace controls govern that processing. WorldViz does not set OpenAI's retention, training, or deletion settings through this plugin.

The reviewed plugin package contains no configured remote MCP server, account connection, or lifecycle hook for delivering conversations or attachments to WorldViz. Its skill instructions do not direct the assistant to send those conversations or attachments to WorldViz. This statement concerns the packaged configuration and instructions; it does not cover separate actions you request, visits to external websites, or code you choose to execute.

Participant data and confidential research

Use synthetic examples or appropriately de-identified data wherever possible. Do not upload identifiable participant data, protected health information, credentials, or confidential research unless the upload is permitted by your institution, study protocol, participant permissions, and the service's applicable rules. Removing names alone may not sufficiently de-identify research data.

Support information and purposes

If you contact WorldViz for support about this assistant, you may provide your name, contact details, organization, support message, and attachments. WorldViz uses Zendesk to manage and respond to these requests. Please provide only what is necessary to explain the issue.

Zendesk's standard Support service also processes technical information, including IP addresses as observed by its systems and event dates and times, as well as ticket fields and incoming email information. These categories do not require WorldViz to add custom fields. We use support information to answer questions, troubleshoot issues, and maintain support correspondence.

Where a legal basis is required, we rely on our legitimate interests in providing and administering requested support, subject to your rights and interests, and on compliance with applicable legal obligations where relevant.

Service providers and other recipients

WorldViz uses Zendesk to manage support requests. Information submitted through that support system is processed by Zendesk on WorldViz's behalf to help WorldViz manage and respond to those requests.

WorldViz team members assigned to support can access support tickets.

WorldViz has not enabled Zendesk AI features to handle support requests.

Zendesk uses service providers for functions such as cloud hosting, network security, email filtering, and operational monitoring. These providers are described in Zendesk's Sub-processor Policy. Its list covers multiple products; providers for features WorldViz does not use are not automatically recipients of these support tickets.

Retention

WorldViz does not currently apply a fixed retention period to support tickets. Solved tickets are archived and retained rather than automatically deleted. Duplicate and spam tickets are deleted as part of support administration. Archiving a ticket does not delete its information.

Deleting a ticket is a staged process. Zendesk ordinarily allows recovery for 30 days after a ticket is deleted, unless it is permanently deleted sooner. We do not represent that deletion from the ticket interface immediately erases all associated records, copies, or backups. Requests for deletion are handled using the process below and Zendesk's available deletion tools.

International processing

As of October 6, 2026, Zendesk reports that WorldViz's Zendesk Support account is hosted in the US West (Oregon) region. This identifies the account's current hosting region; it is not a guarantee that all processing, provider access, or copies remain in Oregon. Zendesk states that it may move account data between regions unless an applicable regional-hosting commitment limits those moves. Support information may be processed outside your country by Zendesk and its service providers; provider processing locations are described in its Sub-processor Policy.

Zendesk describes international-transfer mechanisms in its Data Processing Agreement, including standard contractual clauses and the UK Addendum where applicable. Contact Sado Rabaudi for information about arrangements applicable to your support data.

Privacy rights and requests

To request access to, correction of, or deletion of information you submitted to WorldViz for support about this assistant, contact Sado Rabaudi at rabaudi@worldviz.com. If possible, use the email address associated with your support request and include any relevant ticket numbers. We may request limited additional information when reasonably necessary to verify your identity or locate the records; government-issued identification is not routinely required.

Depending on applicable law, you may also have rights to restrict or object to processing, receive a portable copy of certain information, withdraw consent where processing relies on consent, or complain to a data protection authority. We respond within the time required by applicable law. If a lawful exception prevents us from fulfilling a request in whole or in part, we explain the reason and any available review or complaint options. We protect other people's information when providing access.

Requests concerning your ChatGPT or Codex conversations and files held by OpenAI should be directed to OpenAI. WorldViz does not manage those conversations through Zendesk.

External websites and executed code

The assistant may point to documentation, downloads, or third-party services. Accessing them can disclose request information such as an IP address to the destination or its providers. Website browsing and those services are outside the scope of this notice.

Reference materials describe software with networking features. For example, bundled SightLab source includes a WorldViz-hosted update check and multi-user networking. Running that software, following setup instructions, or using external AI services can involve additional processing. These activities are distinct from reading packaged reference material.

Updates

We will publish updates to this notice with a revised effective date and provide additional notice where required by applicable law.

Part 2 — Assistant terms

Scope

These terms apply to WorldViz Inc.'s SightLab VR Assistant plugin and the instructions and reference materials supplied with it. They do not replace the separate licenses or terms for SightLab, Vizard, VR hardware, or other software and services. OpenAI's applicable terms separately govern your use of ChatGPT or Codex.

Permission to use the assistant and materials

WorldViz grants you a nonexclusive permission to install and use the assistant and read its bundled materials for learning, evaluating, and developing SightLab workflows. You may copy and adapt WorldViz-owned code examples for your own workflows, subject to any applicable product licenses. Preserve copyright and license notices. Materials identified as third-party content remain subject to their own license terms; these terms do not expand those rights.

This permission does not grant a license to run SightLab or Vizard, remove trial restrictions, or bypass licensing controls. Reference copies of product source files do not replace the licenses needed to use the products. WorldViz and other rights holders retain ownership of the supplied materials. These terms do not claim ownership of your inputs or independently created work, or change OpenAI's applicable terms concerning generated output.

Guidance and generated code

The assistant provides informational and coding assistance. Responses can contain mistakes, omit requirements, or differ from your installed software version. Review and test generated code in an appropriate environment before using it in a study or production workflow. You are responsible for study approvals, participant permissions, and the suitability of the resulting experiment.

Data and permitted use

Use the assistant lawfully and respect intellectual property and other people's privacy. Use synthetic or appropriately de-identified examples where possible. Do not submit identifiable participant information or confidential research unless you are authorized and the applicable service rules permit it. WorldViz's SightLab VR Assistant Privacy Notice describes the assistant's data practices and related WorldViz support.

Availability and responsibility

To the extent permitted by applicable law, the assistant and bundled materials are provided as available without a promise of uninterrupted operation, error-free guidance, or fitness for a particular study. Nothing in these terms excludes rights, warranties, or liabilities that applicable law does not allow to be excluded. WorldViz may update or discontinue the assistant. These terms do not change any separately purchased support commitments.

Contact and changes

Questions about the assistant may be directed to Sado Rabaudi at rabaudi@worldviz.com. Updated terms will be published with a revised effective date, with additional notice where required by applicable law.
